What personal data do we collect through the website and for what purposes?
Website visitors can contact us through the website by filling out a contact form. You will be asked to provide your email address so that we can contact you and you can leave a message.
When you register for an event, we ask for your name and email address so that we can keep you informed about the event, communicate with you, and, for example, create name tags for the event. If you wish, you can also provide other contact details such as your phone number and the organization you work for, along with additional information about specific preferences for the event and a message. We use this information to communicate with you through the contact details provided and to have more background information about you, such as the organization you work for, with whom we might want to establish a business relationship.
We log the IP addresses of website visitors and the timestamp of website visits. We use this information for technical management and problem analysis.
On what legal basis is the processing based?
We process the data because it is necessary for our legitimate interests. Generally, this is the interest of conducting our business activities, and more specifically, the interests outlined in the above-mentioned purposes.
For specific processing, we may ask for your consent, such as for sending emails for commercial purposes.
With whom are the data shared?
We use IT service providers to store your data. These service providers are located in the Netherlands. Google is located in the USA.
If you register for an event, we may share your data with the service provider that assists us in organizing the event and, if we organize the event together with other parties, with those other parties. These parties are usually located in the Netherlands or elsewhere in Europe.
Are the data transferred outside the EER?
We do not transfer personal data outside the EER or to countries where there is no appropriate level of protection for your personal data. Google Analytics data may be transferred outside the EER based on appropriate safeguards (EU model contract clauses or the Data Privacy Framework).
Do we use cookies?
We only place necessary, functional, and analytics cookies with minimal privacy impact. We use Google Analytics but have configured it to mask the IP address. The cookies are used to analyze website usage and optimize our website.
How long are the data retained?
We retain the data you share through the contact form for a period of 5 years as a starting point. The data of event attendees are retained for a starting point of 12 months. If a business relationship arises from contact with you, we may retain the data for the duration of this relationship and for a period of 5 years after its termination.
We retain the IP addresses logged via the website for three months.
What rights do you have as a website user?
Under the General Data Protection Regulation (GDPR), you have the following rights with regard to your personal data:
- Request a copy and access to your data.
- Receive information about the processing of your data.
- Correct incorrect data.
- Complete incomplete data, considering the purposes for which they are processed.
- Delete your data.
- Restrict the use (processing) of your data.
- Object to the use (processing) of your data.
- If you have given consent for a specific use of your data, withdraw that consent. The withdrawal applies to future use of your data.
- If you have provided the data yourself or if the data have been generated by you and you have given consent or the data are necessary for the execution of the agreement, and if the data are processed electronically: you have the right to receive your data in a structured, commonly used, and machine-readable format and, if technically possible, to have the data transferred to another party upon your request.
- File a complaint with the competent privacy supervisory authority; in the Netherlands, that authority is the Dutch Data Protection Authority.
